Steps Explained

  1. Menu Link:Company -> Add Employee
  2. You could add any number of employees or executives.
  3. But only a limited amount of them can have login access. It depends upon the type of package you had purchased.If you have 2 Locations and 20 Login license, then you could have only 20 employees who can login.
  4. But you can have thousands of employees added to your data.

If you don’t want the employee to have login access, then uncheck the “Can Login” checkbox.
The Password would be mandatory, only if the employee has Login Access.
If the employee can login and assign Followup Schedule to himself or for others, then you have to check the “Can Assign Schedules” checkbox.
If you don’t the employee to show up in Followup Schedule or anywhere else, you could uncheck the “Is Active” checkbox.

One important issue regarding employee, is that the employee should be assigned to a particular location.
So whenever a schedule is created, only the executives of that location would show up in the Schedule List.

Each employee should be assigned to one or more Zones.
Each employee should be assigned to one or more Categories.

This is important during creation of Schedules for Sales or Service.
Only those employees or executives, who are in the particular zone of the Customer, would show up in the Followup List.
Only those employees or executives, who are in the particular category of the Customer’s product, would show up in the Followup List.

For example, assume that a Customer belongs to “Central Zone” and he had purchased a “Laptop”.
When he lodges a complaint and when you want to assign an executive for that complaint, then only those executives who belong to Central Zone or those who are in the Laptops category would show up in the Followup List.
You could also schedule followups bypassing these filters. But it would be easier for you to manage Followups when the executives are assigned to their respective categories.

The employee who has a login access, should be assigned a Role.
You could select the role from the list of roles available.
You could also customize the access settings for each page in the application for that particular employee.
